Updating Principal in DOE Systems

To update the principal in ATS or any other DOE systems, ensure that the principal information is correct in CHIP. Please see detailed instructions below. We will cross reference the principal information in CHIP with the central DOE system once a semester and make updates based on what is in CHIP.

CHIP

The only way we have a way of communicating with you is via the contact information listed in CHIP (Charter School Information Portal). It is critical that your school's contact information is up to date in CHIP. Everyone listed in CHIP will receive our C Weekly newsletter with important information and deadlines. Additionally, once a semester we will update DOE's central systems (including ATS) with principal and/or executive director information listed in CHIP. At the very minimum, ensure that the following contacts are correct and checked-off in CHIP: 

  • Board Chair (including email and non-school phone number that can be shared publicly with families when they call with a complaint)
  • Executive Director and/or Principal (both will be used to update central DOE systems including ATS)
    • Please ensure that the emergency contact information (e.g. personal cellphone) for these roles are up to date to ensure we can reach school leaders in the event of an emergency after hours
  • Operations Leadership
  • Finance Leadership
  • SPED Leadership
  • Testing Coordinator
  • Health Services Point of Contact
  • School Safety Liaison

The school leadership information entered into CHIP will be used to update DOE systems to reflect your current school leadership and will be shared with other DOE offices as needed.

Once you are in CHIP, please provide the contact information that your staff is likely to utilize often, which is most often their charter school email. For detailed instructions with pictures on how to add/edit folks to CHIP, see here.

You may add any additional contacts beyond critical personnel listed above if you wish for them to receive the C Weekly. Each new contact is automatically added to the C Weekly listserv. If you are part of a network, you will need to log into each individual DBN and update CHIP for each DBN.
